Administrative Assistant - Evanston Center, Denver, Colorado

OVERALL PURPOSE: The administrative assistant will perform a variety of administrative and clerical tasks for University Park's Evanston Center for Spiritual Wholeness and Healing. The Evanston Center is a mission site of University Park UMC designed to be inclusive, intercultural, interfaith and intergenerational. It provides sacred and safe opportunities for individual and communal discoveries, liberation, actualization, healing, and wholeness. The administrative assistant will support this mission by assisting in daily office needs, providing support to the Director of Wholeness and Healing, and managing the general administrative activities of the Evanston Center.

ACCOUNTABILITY:  The administrative assistant reports directly to the Director of Wholeness and Healing. An annual performance review will be conducted by the Director with input from the Senior Pastor of University Park United Methodist Church.

QUALIFICATIONS: The following are the minimum requirements for this position:

  • Minimum of two years’ experience in relevant administrative roles
  • Thorough understanding of office management procedures
  • Excellent organizational and time management skills
  • Excellent written and verbal communication skills
  • Proficiency in basic math with experience handling cash and check payments
  • Proficiency in Microsoft Office Suite, Google Drive, and social media
  • Working knowledge of common office equipment
  • High emotional intelligence and excellent social skills
  • Additional languages helpful, but not required

DUTIES AND RESPONSIBILITIES: The duties and responsibilities of this position will include the following:
  • Maintain the computer system, including the system for file back-up
  • Screen and respond to phone calls, voicemails, and emails regarding the Center and building use
  • Maintain a system of vouchers for payment and reimbursement of building expenses
  • Ensure that all bills are accurate reflections of the Center's contracts and agreements and that they are paid on time via the UPUMC bookkeeper
  • Inventory and maintain supplies and office equipment
  • Communicate with the custodian or other contracted personnel regarding maintenance of the building
  • Communicate with vendors/contractors for the building as needed
  • Track annual safety inspection needs and schedule accordingly
  • Work with the Director to establish and maintain contracts with each building user
  • In conjunction with the Director, coordinate and schedule use of the building
  • Maintain the Evanston Center program calendar
  • Ensure the collection of rental fees and maintain a system for tracking income and expenditures
  • Assist the custodian with building/room set-up for tenants as needed
  • In conjunction with the Director, maintain website and social media platforms
  • In conjunction with the Director, develop and maintain marketing materials
  • Develop email contact lists for advertising Center programs
  • Other administrative tasks as requested by the Director and other UPUMC staff
SCHEDULE: A normal workweek consists of 2 days per week, 5 hours per day (10 hours/week total).
