Office Administrator - Applewood Valley UMC, Golden, Colorado

Applewood Valley United Methodist Church is looking for a hard working and friendly office administer to start in the month of December. This is a part time salary position that will pay $25,000 a year.


Responsibilities:

  • Serves as the overall resource person to the church staff and congregation.
  • Handles routine church office needs such as: answering the phone and door; typing, printing and folding bulletins for Sundays and special services; maintaining all records on Church Windows; distributing mail; maintaining copier and postage machine; coordinating office volunteers as needed.
  • Compiles and prepares the emailing and mailing of the monthly newsletter, the “Applewood.” Must be competent in Publisher and Adobe Reader with some experience in graphic design.
  • Screens calls for clergy, takes messages if they are not available and always notifies callers of minister’s whereabouts and expected return.
  • Prepares and maintains an up-to-date membership & constituent directory with accurate mailing addresses, email addresses and phone numbers; mailing lists; staff lists and committee membership lists. 
  • Assigns giving numbers for new members and maintains giving number records.
  • Keeps an up-to-date church calendar of all meetings and church functions, coordinates groups using church space for outside functions and notifies people of upcoming meetings via email reminders.
  • Orders office supplies, donation envelopes and other clerical supplies as needed or requested by the pastors or staff while staying within budget guidelines.
  • Attends staff meetings as requested by clergy/staff.
  • Inputs each Sunday’s attendance, and emails the attendance numbers for each service and the list of visitors and their contact information to the pastors and welcoming team each Monday.
  • Notifies and assists the volunteer Membership Secretary with changes in membership, such as new members received or membership transfers.
  • Sends prayer requests to the pastors and the volunteer Prayer Chain coordinator as received via email or prayer request note cards.
  • Compiles and fills out all clerical reports for the annual Charge Conference.
  • Performs weekly backup and maintenance on all office computers.
  • Orders regular building maintenance supplies requested by custodians or staff, handles routine or emergency service calls on building equipment or utilities. Schedules service on sprinkler system, fire inspections, elevator inspections, etc.
  • Informs and communicates with custodians regularly with work set-ups required for meetings, events and functions.
  • Serves as the resource and administrative person for the annual church auction by printing out letters for donations, filling out bid sheets, making signs for gift certificates, getting cash for cash box, printing up tickets for the Italian dinner, ordering food for the dinner as requested by the volunteer dinner coordinator, prints advertising for auction as needed, helps organize the silent auction in the Social Hall with volunteers, and mails thank you letters to all contributing businesses. 
  • Runs errands for clergy and staff as needed. Fills in and assists where needed.
  • Runs background checks on volunteers as requested.
  • Emails weekly scripture readings to assigned Sunday liturgists (list provided).

Requirements: 

  • General secretarial and organizational skills, and the ability to multi-task.
  • Strong computer and communication skills.
  • Experience in some graphic design and marketing skills. 
  • Must be a people person and be ready to assist others when needed.
  • Must have the ability to work well with pastors, staff, volunteers and the congregation.
  • Must be dependable, flexible, organized and detail oriented with a respect for Christian values and the United Methodist structure.
  • Must maintain confidentiality with information regarding sensitive information about members, clergy and staff.
  • Must be willing to work as part of a team for the good of the church.
  • This position requires a consistent office presence as pastoral ministry demands out-of-office time, therefore this position requires someone who is able and willing to work alone.
  • Must find office coverage from a list of trained volunteers (provided) when absent due to vacation or sick days.
 

Supervision:

  • The direct supervisor is the Senior Pastor.
  • Performance reviews are through the Staff Parish Relations Committee (SPRC).
  • The SPRC will assign someone to be an advocate for you.
 

Time and Pay:

  • This is a part-time position.
  • Office hours for the office administrator are Monday-Thursday, 9:00 a.m. to 4:00 p.m., with a lunch break every day being 12:00-1:00 p.m.
  • This position offers three weeks of paid vacation a year, one being the week between Christmas and New Year’s Day.
  • No benefits are offered at this time with this position.
