Office and Billing Manager (Full Time)
For Centus Counseling Consulting and Education
General Office Responsibilities:
- Gather and distribute all incoming and outgoing mail and faxes
- Checking all voicemails/emails and respond accordingly
- Answering phones/providing client referrals and contact clinician to give referral information
- Maintain all office supplies
- Troubleshoot equipment issues as needed
- Attend the monthly administrative - clinical staff meetings (held 4th Monday morning of each month)
- Manage Center accreditation process
- Prepare materials requested by the Executive Director, including packets for the bi-monthly Board of Director meetings
Clinician Support Responsibilities
- Provide administrative support to clinicians
- This may include technical support, ordering supplies, ordering business cards, printing collateral and occasional travel to support clinician’s on-site needs
- Scanning and uploading patient forms to EHR system.
- Organize and manage new clinician on-boarding in coordination with the Clinical Director
- This includes collecting and processing necessary paperwork, organizing on-boarding materials and leading the training alongside the Clinical Director.
- Assist with clinician credentialing
- Keeping track of therapist insurance credentials
- Terminate clinician files following the appropriate procedure
Financial Responsibilities
- Track and save client payment documentation
- Ensure insurance billing sent from Valant to Navicure
- Enter Patient Payments into Valant
- Send Statements to Patients
- Follow up on Insurance Denials and manage outstanding payments
- Coordinate with Clinicians on the use of the Square to process credit card receipts
Electronic Medical Records (EMR) Responsibilities
- Serve as the primary contact for EMR functionality
- Ensure that clinicians are accurately utilizing the system in coordination with Clinical Director
- Ability to run demographic and other ad hoc reports on the billing system to enhance management information
Additional Support Responsibilities:
- Fund Development Support
- Print all collateral materials
- Includes both printing in-house and coordination with an outside printing company
- Manage mail merges and thank you letter distribution to donors
- Maintain all donor databases
- Luncheon Support
- Includes the Annual Centus Samaritan Luncheon and School Program Luncheon
- This includes on-site coordination
- Annual Appeal Letter Support
- Managing the mail merge / preparing and mailing the letters
- Fundraising/events support
- Participate in both the Fund Development Committee and the School Program Luncheon Committee
Qualifications:
- Experience in office administration and mental health billing.
- Knowledge of HIPPA compliance
- Experience with an Electronic Medical Record and an understanding financial administration strongly preferred
- STRONG organizational and administrative skills
- Ability to work independently on multiple projects with minimal direction
